When SaaS is the right choice
Off-the-shelf software is the smartest option in many cases:
- Standard processes — Accounting, email, project management, CRM for small teams. Excellent tools already exist for these, tested and improved thousands of times over.
- Need to move fast — You need a working solution today, not three months from now.
- Limited budget — Monthly SaaS costs are predictable and low to get started.
- No unique process — If the way you work does not fundamentally differ from other businesses in your industry.
When custom software is the better investment
Custom software becomes interesting when:
- Your process is your competitive edge — If the way you work sets you apart from competitors, you do not want to bend it to fit standard software.
- You are outgrowing existing tools — You hit limitations, invent workarounds, or have to stitch multiple tools together.
- Integration is critical — You need software that works seamlessly with your existing systems.
- Data ownership matters — With SaaS, your data is often locked inside the platform. With custom software, you have full control.
- The long term counts — Custom software costs more upfront, but the total cost of ownership is often lower with long-term use and growth.
The hybrid approach
It does not have to be one or the other. Many of our clients use SaaS for standard needs (accounting, email) and custom software for their core processes. We then build integrations between both worlds so everything works together seamlessly.
How do you decide?
Ask yourself three questions:
- Is this process unique to my business, or do others do it similarly?
- Do I expect my needs to change significantly in the coming years?
- How much does it cost me (in time, money, frustration) when the software does not quite fit?
